Who we are

Kylosys is the trading name of [company name], [registered address]. For your own account details we are the controller. For customer records you store in the app, you are the controller and we process them on your instructions.

What we keep

Account details (passwords stored only as a one-way hash), business settings, customer records, call and voicemail records, ticket messages, phone usage records, and technical and security logs. We never hold card numbers.

Why we keep it

To run and secure the service, help you when you ask, meet legal duties and send service messages. We do not sell data, and we do not use your customers' details for marketing.

Who sees it

Cloudflare (hosting and database), our phone system provider and Google Fonts on the website. Otherwise only where the law requires it, to defend legal rights, or in a business sale with prior notice.

Your customers' details

The business that holds them controls them, so requests go through that business.

Call recording

The business must tell people they are being recorded. Recordings are kept with the call.

Cookies

One essential session cookie, ky_session. No advertising, tracking or analytics cookies.

How long we keep it

While your account is open. Records are deleted within 30 days of closing, except where the law requires longer. Backups age out within a further 30 days.

Where it is stored

On Cloudflare's network, in the region chosen for your account.

Security

Passwords are salted and hashed with PBKDF2-SHA256, sessions use signed cookies, connections are encrypted, and operator access is restricted and logged.

Your rights

Access, portability, correction, deletion, objection or restriction, withdrawing consent, and complaining to a data protection authority. We answer within 30 days.

Children

The service is not meant for children. We remove their details on request.

Changes

We update the date with every change and tell you in advance about significant ones.
